Privacy Policy

Last updated: November 2026 · TrackNow, Limerick, Ireland
This policy explains what personal data TrackNow collects, why we use it, who we share it with and the rights you have. It applies to our customers and their staff, people who contact us (by email, phone, WhatsApp or our website), and visitors to tracknow.ie.

1Who we are

TrackNow ("we", "us") provides GPS vehicle and asset tracking, dashcams and related services. For the personal data described in this policy (other than tracking data handled on a customer's behalf, see section 2) we are the data controller.

2Tracking data and your drivers

When a business uses TrackNow to track its vehicles, assets or staff, that business is the data controller for the location and vehicle data collected, and TrackNow acts as its data processor. We process that data only to provide the service and on the customer's instructions.

Customers are responsible for having a lawful basis for tracking, and for telling their drivers and staff that vehicles are tracked (and, where fitted, that dashcams record video and driver-monitoring alerts). Drivers who have questions about tracking data should contact their employer first; we will help our customers respond.

3Data we collect

  • Account and contact details: names, job titles, business email addresses, phone numbers, company and billing addresses, VAT number, portal usernames.
  • Billing and payment: invoices, payment history and Direct Debit mandate details (bank details are collected and held by GoCardless, not stored by us).
  • Vehicle and device data: vehicle registrations, make and model, device identifiers (IMEI, SIM/ICCID, tracker numbers) and SIM data usage.
  • Tracking data (as processor): GPS location, speed, journeys, ignition and engine data, fuel level, driver identification and, where dashcams are fitted, video, images and safety (ADAS/DMS) alerts.
  • Communications: emails, WhatsApp messages, phone calls and messages you send us, our replies, and notes of sales and support calls. Some calls and video meetings may be recorded and transcribed for note-taking; we will tell you at the start of the call.
  • Proposals and sign-up: information you give when accepting a proposal, signing up or sending us your vehicle registrations.
  • Website: information you enter in forms and data collected by cookies (see section 11).

5WhatsApp and our digital assistant

Our WhatsApp business line is answered in part by Benji, TrackNow's digital assistant. Benji uses artificial intelligence (provided by Anthropic) to understand your message and carry out routine requests, such as sending an account statement to the email address on your account or sharing a vehicle's current location.

  • Benji only acts for phone numbers we have on file for your company, and only on your company's own vehicles and account.
  • Some requests are checked by a member of our team before anything is changed or sent.
  • Benji does not make decisions that have legal or similarly significant effects on you. You can ask to speak to a person at any time.
  • Please do not send sensitive information (for example health details, bank card numbers or passwords) by WhatsApp.

WhatsApp messages are delivered through Meta's WhatsApp Business Platform and are also governed by WhatsApp's own terms and privacy policy.

  • Enquiries and messages from people who do not become customers: up to 2 years after our last contact.

9Security

We protect data with encrypted connections, access controls, individual logins and by limiting access to staff and providers who need it. No system is completely secure; if a breach affects your data and is likely to put you at risk, we will tell you and the Data Protection Commission as the law requires.

10Your rights

Under the GDPR you can ask us to: access your data; correct it; delete it; restrict or object to how we use it (including for direct marketing); and receive it in a portable format. Where we rely on consent, you can withdraw it at any time.

To use any of these rights, email support@tracknow.ie. We will reply within one month. If your request is about tracking data held for your employer, we will pass it to them as the controller.
